1. Introduction
These Terms and Conditions ("Terms") govern your use of the website available at https://gol-catering.site/ (the "Website") and your relationship with GOL CATERING ("GOL CATERING", "we", "us", or "our") when you request, book, or receive our catering and related event services.
The Website is designed to provide information about our private, corporate, wedding, and special event catering services, including services, menus, packages, and specialist offerings for weddings, corporate functions, and other events. It also enables you to make enquiries, schedule appointments, and submit booking requests via our Booking and Contact Us pages.
By using the Website or proceeding with a booking, you enter into a legally binding agreement with us on the basis of these Terms, together with any specific written proposal, quote, or contract we issue in relation to your event.
2. Acceptance of Terms
By accessing, browsing, or using the Website, submitting an enquiry, or confirming a catering booking with GOL CATERING, you confirm that:
- you have read, understood, and agree to be bound by these Terms;
- you are at least 18 years of age and legally capable of entering into binding contracts in the United Kingdom; and
- where you act on behalf of a business, organisation, or other third party, you are authorised to bind that entity to these Terms.
If you do not agree with any part of these Terms, you must not use the Website or proceed with a booking. Continued use of the Website and our services following any update to these Terms will constitute your acceptance of the revised Terms.
3. Service Details and Availability
GOL CATERING provides professional catering for a wide range of occasions, including but not limited to private celebrations, corporate functions, weddings, and special events held within the United Kingdom. Details of our offerings, such as sample menus, curated packages, and service options, are outlined on the Services, Menus, Packages, Weddings, Corporate, and Events pages.
All descriptions, photographs, sample menus, and example setups on the Website are provided for general information and illustrative purposes only. While we strive for accuracy and consistency, specific dishes, ingredients, presentation styles, and staffing arrangements may vary based on seasonality, supplier availability, venue constraints, guest numbers, and your agreed event specification.
Service availability is always subject to date, time, location, and capacity. Submitting an enquiry or viewing a service description on the Website does not guarantee availability or acceptance of a booking. A booking is only confirmed as set out in the Booking Process and Confirmation section below.
4. Booking Process and Confirmation
Our booking process is designed to be clear and accessible, and typically follows the steps below. Certain events may require additional steps, which will be communicated to you in writing.
- Initial enquiry: You may contact us using the interactive forms on our Booking or Contact Us pages, or through any other communication channel we make available. You will be asked to provide key details such as provisional date, time, venue location, approximate guest numbers, dietary requirements, and preferred menu or package style.
- Proposal and quotation: Based on the information you provide, we will prepare a proposal and indicative quotation outlining the catering services we can offer, menu suggestions, and any additional services such as staffing, equipment hire, or bar service.
- Review and adjustments: You will have the opportunity to review the proposal, request adjustments to menus or service levels, and clarify any questions. We may revise the quotation accordingly.
- Booking confirmation and deposit: A booking is only considered confirmed once you have provided written acceptance of our final proposal and quotation (for example, by email or through an approved digital acceptance process) and paid any required deposit or initial payment by the stated due date.
- Final details and numbers: Final guest numbers, menu selections, dietary requirements, and event timings must be confirmed by the deadline specified in your proposal or booking confirmation. Adjustments after this deadline may be subject to additional charges or may not be possible.
We reserve the right to decline or cancel a booking request at our reasonable discretion, including where we lack capacity for the requested date or location, where information provided appears inaccurate or incomplete, or where we reasonably believe that we may be unable to deliver services safely or to the required standard.
5. Client Responsibilities
To help us provide a safe, seamless, and high-quality catering experience, you agree to:
- provide accurate, complete, and up-to-date information when submitting enquiries, confirming event details, and responding to our communications;
- inform us promptly of any changes to event date, time, venue, guest numbers, or key requirements, recognising that changes may affect pricing and feasibility;
- clearly communicate all known dietary requirements, allergies, intolerances, and religious or cultural food considerations for your guests within the agreed deadlines;
- ensure that we and our team have safe, timely, and reasonable access to the venue, including kitchen or preparation areas, power, water, parking, and unloading space as required;
- comply with all applicable venue rules, health and safety guidelines, licensing requirements, and any instructions we reasonably issue on the day of the event;
- be responsible for the conduct of your guests and any third parties you engage, and for any loss of or damage to our equipment, property, or hired items caused by you, your guests, or associated parties (other than fair wear and tear).
Where you provide information or instructions on behalf of a business, organisation, or third party, you confirm that you are authorised to do so and that they accept responsibility for compliance with these Terms.
6. Pricing and Payment Terms
All prices for our catering services are either displayed on the Website (for example in relation to indicative packages or sample menus) or are provided to you in a tailored quotation for your specific event. Website prices are indicative only and may vary depending on final guest numbers, menu selections, service style, staffing requirements, travel distance, equipment hire, and other event-specific factors.
Unless expressly stated otherwise, prices are quoted in GBP (£) and are exclusive of any additional charges such as venue fees, third-party hire, or surcharges that may apply for late changes, extended service times, or special requests.
Our standard payment terms (which may be varied in your written proposal or booking confirmation) typically include:
- a non-refundable deposit or initial payment due upon acceptance of our proposal to secure your date;
- an interim payment or staged payments for larger events, as specified in your quotation; and
- payment of the final balance by the deadline communicated in your booking documentation, usually prior to the event date.
Payments must be made using one of the methods we specify, and cleared funds must reach us by the relevant due dates. If a payment is late or not received, we may suspend work on your event, refuse service on the event date, or cancel the booking in line with the Changes and Cancellations section.
We reserve the right to correct obvious errors or omissions in prices or specifications on the Website or in quotations. If such a correction is necessary after you have made a booking request, we will notify you and give you the opportunity to proceed at the correct price or cancel without penalty in respect of that error.
7. Changes and Cancellations
7.1 Client-initiated changes
If you wish to make changes to your event after a booking has been confirmed—for example, adjusting guest numbers, menu choices, service times, or venue details—you must notify us in writing as soon as possible. We will make reasonable efforts to accommodate requested changes, but this may not always be possible, particularly if the request is made close to the event date.
Where we can accommodate your request, any changes may result in adjustments to the price and may incur additional charges for ingredients, staffing, logistics, or third-party services already booked on your behalf.
7.2 Client cancellations
If you need to cancel your event, you must inform us in writing. Any deposit or initial payment is typically non-refundable, reflecting the time, planning, and costs already incurred. Additional cancellation charges may apply depending on how far in advance you cancel and what costs we have already committed to, including purchases of ingredients, equipment hire, and staffing commitments.
Specific cancellation timelines and related charges will be outlined in your proposal or booking confirmation and will form part of these Terms for your event.
7.3 Provider-initiated changes or cancellations
In rare circumstances, we may need to make reasonable changes to your event or, in exceptional cases, cancel a booking. This may include but is not limited to circumstances where:
- we experience significant staff illness or unavailability, supply chain disruption, or other operational issues outside our reasonable control;
- the venue becomes unusable or unsafe for catering activities; or
- you have not complied with these Terms, including failure to provide required information or make payments when due.
Where we initiate a change or cancellation for reasons other than your breach of these Terms, we will use reasonable efforts to offer alternative arrangements, such as rescheduling where feasible, adjusting the service scope, or recommending trusted third-party providers. If we are unable to proceed and must cancel your event, our liability will usually be limited to refunding any payments you have made for services not yet provided, subject to the Liability and Limitations section below.
8. Liability and Limitations
GOL CATERING aims to deliver all events with professionalism, care, and attention to detail. However, our liability to you is subject to the limitations set out in this section and to applicable law.
We will not be liable for any failure to perform, or delay in performing, any of our obligations where such failure or delay results from events, circumstances, or causes beyond our reasonable control. These may include, for example, extreme weather, transport disruption, power failures, government restrictions, public health emergencies, industrial action, or serious supply chain failures affecting key ingredients or services.
While we take food safety and allergen management extremely seriously, it is essential that you provide complete and accurate information about guest allergies and dietary requirements in good time before the event. We cannot accept liability for adverse reactions where relevant information has not been fully or correctly provided, or where guests consume food other than that specifically prepared or designated for them.
To the fullest extent permitted by law:
- we exclude all implied warranties, representations, and terms that may apply to the Website or any content on it;
- we will not be liable for any loss of profits, business, contracts, goodwill, or anticipated savings, or for any indirect or consequential loss arising out of or in connection with your use of the Website or our services; and
- our total aggregate liability to you in respect of any event or series of connected events, whether in contract, tort (including negligence), breach of statutory duty, or otherwise, will be limited to the total amount paid or payable by you to us for the relevant event.
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other matter for which it would be unlawful to exclude or limit liability under UK law.
9. Intellectual Property
Unless otherwise stated, all intellectual property rights in and to the Website and its content are owned or licensed by GOL CATERING. This includes, without limitation, all text, copywriting, menu descriptions, photographs, graphics, logos, brand elements, layout and design, and any downloadable materials we may make available.
You may view, temporarily download, and print content from the Website for your personal reference or for internal business planning in connection with a potential or confirmed event with us. You must not:
- modify any content or remove any copyright, trademark, or proprietary notices;
- use any images, menus, or branding from the Website for your own commercial purposes or to promote another catering or event service;
- reproduce, distribute, publicly display, or create derivative works from our content without our prior written consent; or
- use our name, logo, or branding in a way that suggests endorsement of, or association with, any third-party product, service, or event without express permission.
All rights not expressly granted in these Terms are reserved. Unauthorised use of our intellectual property may give rise to a claim for damages and/or may be a criminal offence.
10. Privacy and Data Protection
We are committed to protecting your personal data and handling it responsibly in line with applicable UK data protection laws, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
When you use the Website, submit an enquiry, or make a booking, we may collect and process personal data such as your name, contact details, event information, and communications with us. We use this information to manage your enquiries, prepare proposals, deliver catering services, and maintain appropriate records of our client relationships.
Further details about what personal data we collect, how we use it, the legal bases for processing, how long we keep it, and your rights as a data subject are set out in our dedicated Privacy Policy and Cookie Policy, which form part of these Terms. We encourage you to review those policies carefully before using interactive features such as our booking and contact forms.
By using the Website and providing personal data to us, you acknowledge that your information will be processed in accordance with our Privacy Policy and Cookie Policy.
11. Contact Information
If you have any questions about these Terms, need clarification before confirming a booking, or wish to raise a concern about how they apply to your event, you can contact us using the details provided on our Contact Us page.
For booking-specific matters, including changes or cancellations, we recommend that you refer to your written proposal or confirmation email in your correspondence so that we can respond quickly and accurately.
You may also use the enquiry tools on the Booking page for new event requests or to discuss how these Terms relate to our services, menus, packages, or specialist offerings for weddings, corporate events, and other occasions.
GOL CATERING may revise these Terms from time to time, for example to reflect changes in our services, operational needs, or applicable laws. The version published on this page at the time you confirm your booking will usually apply to your event, unless we expressly agree otherwise in writing.
